Notion CRM: how to build one, and when it is enough

Quick answer

A Notion CRM is a set of Notion databases, usually contacts, companies and deals, joined by relation properties, with a board view grouped by a Status property as your pipeline. Notion offers free CRM templates, including its own Sales CRM. On the Free plan, automations are limited to buttons and Slack notifications; custom automations need Plus or above.

We built PortifyLead’s Notion connector, so we have worked through Notion’s database and API documentation to learn how a CRM in Notion is put together and what other tools can do with it. Here is what we learned, with Notion’s own sources.

Can you use Notion as a CRM?

Yes. In Notion you build a CRM from databases, and Notion publishes its own guide and templates for doing exactly that. It suits a small team, a freelancer or an agency that already lives in Notion and wants clients, projects and deals in one workspace.

What you get is flexibility: every field is a property you choose, and every view is yours. What you take on is the build: nothing records an email or a call unless you or an automation writes it down, and the rules a CRM usually enforces are the ones you set up yourself.

How do you set up a CRM in Notion?

Start with three databases and link them.

  1. Create a Companies database: name, website, industry (select), size (select).
  2. Create a Contacts database: name, email, phone, LinkedIn URL, job title, and a relation to Companies.
  3. Create a Deals database: deal name, value (number), Status (for example New, Qualified, Proposal, Won, Lost), close date, and relations to Contacts and Companies.
  4. On Deals, add a board view grouped by Status. That is your pipeline, and dragging a card changes its stage.
  5. Add a rollup on Companies that sums the value of its open deals.
  6. On a paid plan, add an automation: when Status changes to Won, set a date and notify the owner.

Notion’s own guide builds a simpler version on one Clients database, with Status values Lead, Prospect, Active and Inactive. Start there if you have a handful of clients; split into three databases once one company has several contacts.

What is the best Notion CRM template?

Start with Notion’s own Sales CRM template. It is free, made by Notion, and rated 4.85 out of 5 from more than 900 ratings on Notion’s marketplace as of 24 September 2026. The marketplace’s CRM category lists many more, free and paid.

A template saves the first hour. Before you pick one, check three things: that contacts and companies are separate databases joined by a relation, that the pipeline uses a Status property you can rename, and that it does not depend on automations your plan does not include.

When is Notion not enough as a CRM?

When the work outgrows what you are willing to build by hand. The signs are practical:

None of these is a Notion flaw; they are what a dedicated CRM is built around. If two or more are true, a CRM such as HubSpot or Pipedrive is built for that work, and the Notion build becomes upkeep.

What we see in the field: what connecting tools to a Notion CRM involves

We built PortifyLead’s Notion connector, which saves a LinkedIn contact as a new entry in a Notion database you choose. It is in verification and not available to connect yet. Building it taught us three things about Notion CRMs that are worth knowing before you connect any tool.

A tool connected to Notion sees only the pages you share with it. If an integration cannot find your Contacts database, share that page with it from the ••• menu under Connections.

A database is no longer one table. Since Notion’s API version of 3 September 2025, one database can hold several data sources, each with its own properties. A tool that saves into Notion has to pick one data source, so pick the one your contacts actually live in.

Notion has limits a CRM does not: through the API, an email or phone value is capped at 200 characters and a text value at 2,000 characters per block. Contact details fit easily. Long notes get split.

Questions

Is Notion a good CRM for a small business?

It can be, if you already work in Notion and your pipeline is simple. You build the databases, views and automations yourself, and a dedicated CRM becomes worth it once you need logged emails, per-owner reporting or more automation than your plan includes.

Does Notion have a free CRM template?

Yes. Notion’s Sales CRM template is free, and Notion’s marketplace has a CRM category with more free and paid templates.

Can Notion send follow-up reminders?

Yes, with database automations, for example a weekly trigger that notifies the owner of every deal with a close date this week. Custom automations need the Plus plan or above; the Free plan can only create Slack notification automations and buttons.

Can I track deals in Notion?

Yes. Give a Deals database a Status property with your stages and add a board view grouped by it. Each card is a deal, and dragging it moves it to the next stage.

Can I connect Notion to other tools?

Yes. Notion connections, built with its API, can read and write the pages you share with them, and database automations can send a webhook when something changes.

Keep LinkedIn contacts out of copy and paste

PortifyLead saves the person you are looking at on LinkedIn to HubSpot, Salesforce, Pipedrive, Zoho CRM, Capsule or Google Sheets, matched against your existing records so you update instead of repeating. Notion is built and in verification, and appears on the integrations page when it can be connected.
