HubSpot lifecycle stages

Quick answer

HubSpot has eight default lifecycle stages: Subscriber, Lead, Marketing Qualified Lead, Sales Qualified Lead, Opportunity, Customer, Evangelist and Other. The stage says where a contact or company is in your marketing and sales process. Imports, forms, workflows and integrations only move it forward; to go back, edit it by hand or clear it first. That is HubSpot’s documentation, checked 24 September 2026.

PortifyLead saves LinkedIn contacts into HubSpot, matched on email, so how a new or updated contact meets your lifecycle rules is part of how we built the save. Here is how the stages work, from HubSpot’s own help pages.

StageWhat it means in HubSpotWhat usually sets it
SubscriberOpted in to hear from you, for example a blog or newsletter sign-up.A subscription form.

What are the lifecycle stages in HubSpot?

Lifecycle stage is a default property on contacts and companies that shows where each one sits in your process, from first sign-up to paying customer. It exists on every HubSpot plan, including Free.

The eight defaults are the ones in the table. Super Admins can rename them, reorder them, add custom stages and delete stages that hold no records, from Settings, then Objects, then Contacts, then Lifecycle stage. A stage cannot be deleted while records sit in it, while another HubSpot tool uses it, or while it is the default for a connected app.

HubSpot also records when a contact moved: “Date entered” and “Date exited” properties for every stage, plus the older “Became a [stage] date” properties. The “Latest time in” and “Cumulative time in” properties, which count how long a contact spent in a stage, need a Professional or Enterprise subscription.

What is the difference between lead status and lifecycle stage in HubSpot?

Lifecycle stage is the big picture: where a contact is across marketing, sales and service. Lead status is the detail inside one stage: what sales is doing with a Sales Qualified Lead right now.

HubSpot’s default Lead status values are New, Open, In progress, Open deal, Unqualified, Attempted to contact, Connected and Bad timing. Lead status can move in any direction as a rep tries, reaches and qualifies someone. Lifecycle stage only moves forward through HubSpot’s automated tools.

Sales Hub Professional and Enterprise add a third thing with a similar name: the Leads object. A lead there is its own record, associated with a contact or company, with its own pipeline of stages. HubSpot can set the contact’s lifecycle stage when a lead is associated with it. If your account has Leads, use its stages for prospecting work and keep lifecycle stage for the funnel report.

How do lifecycle stages change automatically in HubSpot?

Through settings you choose. In Settings, then Objects, then Contacts, then Lifecycle stage, then Pipeline rules, you can:

  1. Set a default lifecycle stage for every new contact and company. A contact created by hand with a different stage keeps that stage.
  2. Set a stage when a deal is created, for example Opportunity.
  3. Set a stage when a deal is won, for example Customer.
  4. Set a stage when a lead is associated with the record.
  5. Keep a contact’s and its company’s stages in sync.

The deal rules are off until you switch them on and pick a stage. Workflows can change the stage on any rule you write, but workflows need a Professional or Enterprise subscription.

Can a lifecycle stage go backward in HubSpot?

Only by hand, or once the stage is cleared. HubSpot’s tools (imports, forms, workflows and integrations) only move the stage forward, for example from Subscriber to Opportunity, never from Customer back to Lead. On the record itself you can pick an earlier stage directly. For anything automated, clear the lifecycle stage first, by hand or in a workflow, then set the new value. Our short video on changing lifecycle stage and lead status shows the clicks.

This is the rule behind most “why won’t my contact change stage” questions. An import that tries to set Lead on a Customer does not move the Customer back.

What are lead lifecycle stages?

Lead lifecycle stages are the steps a person goes through from first contact to paying customer. HubSpot’s version is the eight stages above. Other CRMs use their own words, and Salesforce keeps unqualified people on a separate Lead record until they convert. The idea is the same everywhere: one field that says how far along someone is, so marketing and sales count the funnel the same way.

What we see in the field: a LinkedIn save does not pick a stage

PortifyLead does not set a lifecycle stage. Its default HubSpot mapping covers name, job title, company, email, phone, website, country, city and the LinkedIn URL, and nothing else. So whatever stage a contact saved from LinkedIn shows comes from your HubSpot settings, not from us. If new contacts land with no stage, set a default under Pipeline rules.

When you save, PortifyLead searches your HubSpot contacts by email. If it finds one, you update that contact instead of creating a second, and its lifecycle stage stays as it was. That matters for the person you already sold to: saving them again from LinkedIn fills in their new job title and does not demote a Customer to Lead. If two contacts for one person got in anyway, merging them keeps the stage furthest down the funnel.

Questions

How many lifecycle stages does HubSpot have?

Eight by default: Subscriber, Lead, Marketing Qualified Lead, Sales Qualified Lead, Opportunity, Customer, Evangelist and Other. Super Admins can add custom stages, rename and reorder them.

Can I customize lifecycle stages in HubSpot?

Yes. Super Admins can create, rename, reorder and delete lifecycle stages in Settings, under Objects, Contacts, Lifecycle stage. A stage cannot be deleted while records are in it or another HubSpot tool uses it.

What is the difference between an MQL and an SQL in HubSpot?

A Marketing Qualified Lead is one marketing has judged ready for sales. A Sales Qualified Lead is one sales has accepted as a potential customer. The line between them is yours to define, and it works best when both teams write it down.

How do I change a contact’s lifecycle stage to an earlier one?

On the contact record, click Lifecycle stage and pick the earlier stage. For an import, workflow or integration, clear the property first, because those tools only move the stage forward and an earlier value without clearing does not take effect.

Does HubSpot set a lifecycle stage for new contacts automatically?

Only if you tell it to. Form submissions can set one, and you can choose a default stage for all new contacts and companies under Pipeline rules in the lifecycle stage settings.

Is lead status the same as the Leads object?

No. Lead status is a property on a contact. The Leads object, in Sales Hub Professional and Enterprise, is a separate record with its own pipeline, associated with a contact or company.
