What is CRM data entry?

It is getting information about people and deals into your CRM: names, job titles, companies, emails and phone numbers, plus notes on calls and emails. Some of it arrives by itself through forms, imports and email sync. The rest is a person typing, and that is the part sellers mean when they say CRM data entry.

How much time do sales reps spend on CRM data entry?

13% of their working week, according to Salesforce’s 2026 State of Sales report, which surveyed 4,050 sales professionals in 22 countries. Its chart of an average workweek puts selling at 40% and everything else at 60%, and manual data entry is one slice of that 60%, next to quoting, planning and training.

The data that goes in is often not good either. In Validity’s 2025 survey of 602 CRM users, 76% said less than half of their organization’s CRM data is accurate and complete, and 37% said they had lost revenue because of poor data quality.

What CRM data entry can be automated?

Activity, mostly. HubSpot, Salesforce, Pipedrive and Zoho CRM all sync emails and log them against the right record, matched by email address. Salesforce’s Einstein Activity Capture can also create contacts for people a rep has emailed or met, and HubSpot can create a contact when you log an email to an address it doesn’t know.

What those tools share is that they start from an email address. Someone you have only found, on LinkedIn or at an event, is in nobody’s inbox yet, so there is nothing for the sync to match.

What do you still have to type into a CRM?

New people. A prospect you found on LinkedIn has a name, job title, company, location and profile URL on the page, and none of the CRMs above reads that page. LinkedIn’s own CRM sync, which does, needs a Sales Navigator Advanced Plus contract and fully supports four CRMs: HubSpot, Microsoft Dynamics, Oracle Sales and Salesforce.

The other thing that stays manual is what was said. Email sync logs the email; the pain point, timing and next step someone mentioned still end up in a note, if anyone writes it.
