Sales prospecting
Sales prospecting is finding and reaching potential customers to start a sales conversation, through research, qualification and outreach. It can run alongside lead generation’s wider reach: prospecting is rep-driven and one-to-one, while lead generation is marketing’s one-to-many approach, producing leads that are already warmer.
PortifyLead does not run the outreach part of prospecting. It saves a LinkedIn contact without a conversation and can add an editable AI Sales Brief when a conversation exists.
| Sales prospecting | Lead generation | |
|---|---|---|
| Owned by | A sales rep, one prospect at a time | Marketing, one campaign to many |
| Reaches | Contacts a rep identified and researched | A broad audience, through content, ads or events |
| Produces | An active sales conversation | A nurtured lead, often handed to sales later |
Run one prospecting cycle with a clear reason to contact
Illustrative example: a payroll-service seller targets UK companies with 20–100 employees that are hiring their first finance lead. The size range is this example’s chosen ICP, not a benchmark or a claim about conversion.
- Define fit before searching: geography, employee range, payroll complexity and a role responsible for the work. Exclude companies outside your service area.
- Research each candidate using its website and current vacancies. Record the source and date. A finance vacancy is a reason to ask about processes, not proof that payroll is broken.
- Prioritize a fitting company with a relevant, recent vacancy over one with only a broad industry match. Defer a company when the role or need cannot be established; write the reason rather than assigning an unexplained score.
- Choose a contact route the person actually offers, such as a business enquiry channel or a genuine mutual introduction. Explain the observed signal and ask whether the issue is relevant. Do not claim a referral you do not have.
- Record who you contacted, why, when, the channel and the next action. If they reply, agree a follow-up date. If they decline, stop; if there is no reply, review whether you have new value to offer before another attempt.
- Review the same group after a defined period. Count contacted prospects, replies, relevant conversations and agreed next steps. Divide replies by contacted prospects for a prospect-level reply rate; keep repeat touches separate so the denominator stays clear. Compare cohorts with similar criteria rather than treating a vendor benchmark as your target.
What are sales prospecting techniques?
The common ones are cold calling, cold emailing, social selling, referrals, in-person networking and LinkedIn outreach, and most sellers combine a few rather than relying on one. Salesforce calls LinkedIn “the biggest game in town” for finding prospects online, and prospects research too: 81% look into a company before ever inquiring about its products or services, which is one reason the research step now runs before outreach starts, not just after.
- Cold calling and cold emailing: still the baseline outbound pair.
- Social selling: commenting on and engaging with a prospect’s own posts before reaching out.
- Referrals: an existing customer’s introduction.
- In-person networking: events and conferences.
- LinkedIn outreach: profile research plus a direct message or connection request.
How is sales prospecting different from lead generation?
Prospecting is a rep researching and reaching one identified contact; lead generation is marketing building a wider pool that gets handed to sales already warmer. The two feed each other: a prospecting reply can turn into a lead generation touch later, such as a webinar invite, and a marketing-generated lead still needs a rep to prospect it further once it lands.
How do you measure sales prospecting?
Track replies, relevant conversations, agreed next steps and pipeline alongside the number of prospects contacted. State the period, channel and denominator for each rate. An email open, a phone connection and a booked meeting measure different events; comparing them as one conversion rate hides where work is needed. Set targets from your own comparable results rather than treating a published benchmark as a guarantee.
Where does LinkedIn fit in sales prospecting?
LinkedIn is one channel for researching roles and professional context. Use it when your intended buyers are active there; a referral, event or another business channel may fit a particular prospect better. Keep the general research-and-prioritization process consistent across channels.
What we see once prospecting turns into a reply
A prospecting message either gets a reply or it does not, and the reply is where the record-keeping usually breaks down: the contact gets saved late, or not at all, and the conversation gets summarised from memory days later. We split the two moments on purpose. Saving a LinkedIn contact works the moment you find them, prospecting or not, with no conversation required. An AI Sales Brief only appears once a conversation exists to read, and it only fills a field the conversation actually supports: need, timing, blockers, stakeholders, authority, decision process and competitors, each editable, with anything the conversation did not confirm marked “not detected” instead of guessed.
Questions
What is prospecting in sales?
It is the research-and-outreach work a sales rep does to turn an identified potential customer into an active sales conversation: research who to contact, decide whether they are worth pursuing, then reach out.
Is prospecting the same as cold calling?
No. Cold calling is one prospecting technique among several, alongside cold email, social selling, referrals and LinkedIn outreach. Prospecting is the broader activity; cold calling is one way to do it.
How many touches does prospecting usually take?
There is no universal touch count. Record your attempts and outcomes by channel, honor a decline, and follow an agreed next step when you have one.
What’s a good prospecting connect rate?
Define what a connection means, then compare your result with a similar channel, audience and period. A benchmark with a different denominator is not a reliable target.
Can sales prospecting be automated?
The research and sequencing can be tooled, but relevance, permission and the decision to continue require judgement. What can be automated afterward is the record-keeping once a reply exists, which is where PortifyLead’s brief fits, not the outreach itself.
Do you need lead generation before you can prospect?
No. They run in parallel. Prospecting works from a rep’s own researched list; lead generation builds a separate pool marketing hands to sales. A team can prospect with no lead generation program at all, and vice versa.
